Automation

Less manual work.
More momentum.

Set simple rules once: when your team changes something in the CRM, Vantis does the routine part. Qualified leads get a follow-up task. Stage changes are logged. Wins reach your other tools.

  1. WhenLead status changed
  2. ThenCreate task: Book a discovery call, due in 1 day
  3. ThenNotify user: Lead ready for a call
  4. ThenCall webhook (n8n): send intro pack
Example automation. The webhook step needs an n8n workflow connected to Vantis.

How automations work

A trigger, then one or more actions.

Every automation starts with a change made in Vantis and runs its actions in order. Each run is recorded, with any failures, in the run history.

Triggers

  • Lead created
  • Lead status changed
  • Opportunity stage changed
  • Opportunity won
  • Opportunity lost
  • Task created

Triggers run the moment someone on your team makes the change in Vantis. Leads that arrive automatically from forms and ad platforms don't start automations yet, and a scheduled “task overdue” trigger is still in development.

Actions

  • Log activityA line on the record's timeline, so the history explains itself.Built in

In practice

Small rules that keep deals moving.

  1. Qualified means called

Lead status changed → Create task due the next day. A lead marked qualified always has a call booked against it.

  2. A pipeline that explains itself

Opportunity stage changed → Log activity. Anyone opening the deal sees when and how it moved.

  3. Wins reach the rest of the business

Opportunity won → Call webhook. Your n8n workflow can create the invoice, the onboarding checklist or the team message.

What to know before you plan around it

  • Tasks, activity and notification entries are handled inside Vantis and work as soon as an automation is switched on.
  • Automations run on changes your team makes in Vantis. Leads arriving from forms and ad platforms don't trigger them yet.
  • Email and webhook actions are delivered by an n8n workflow. We'll scope that connection with you during setup.
  • Notifications appear on the record's activity timeline. Push and email alerts aren't part of the product yet.

Tell us which work you'd rather not do by hand.

Bring the follow-ups and handoffs your team repeats every week. We'll show you which ones Vantis can take on, and be clear about the ones it can't yet.
